Terms & Conditions
of Participation

Welcome to Glade Runner — Kerala's beach obstacle race, created to bring people together through sport, physical challenge, community and a healthier way of life.

Glade Runner is organised by Glade Sports Hub / Glade ("Organiser", "we", "us" or "our").

By registering for, attending or participating in Glade Runner, you acknowledge that you have read, understood and agreed to the following Terms & Conditions.

1. Registration & Eligibility

  • Participation is open only to individuals who meet the age and eligibility requirements specified for the selected category.
  • Participants must provide accurate and complete information during registration, including their name, date of birth, contact details and other required information.
  • Registration is personal to the participant unless transferred through an officially approved transfer process by the Organiser.
  • Participants may be required to present a valid government-issued identification document during bib collection or at the event venue for verification.
  • The Organiser reserves the right to refuse or cancel participation where the information provided is inaccurate, fraudulent or does not meet the eligibility requirements.
  • Participants must collect and wear their official race bib as instructed. Only registered participants wearing the required race identification will be permitted to enter the race course.

2. Registration Fees, Refunds & Cancellations

  • All registration fees paid for Glade Runner are non-refundable and non-cancellable, except where the Organiser expressly determines otherwise.
  • Refunds will generally not be provided due to: change of plans, personal reasons, travel difficulties, illness or injury, failure to attend the event, late arrival, failure to meet eligibility requirements, or inability/unwillingness to complete the course.
  • Registration fees include only the benefits specifically mentioned during registration and do not include personal travel, accommodation, medical expenses or other incidental expenses.
  • The Organiser reserves the right to modify registration fees, offers or ticket categories before registration is completed.

3. Registration Transfer

  • Registration transfer to another participant may be permitted subject to the Organiser's transfer policy and applicable deadline.
  • Any replacement participant must satisfy the eligibility requirements applicable to the relevant race category.
  • The new participant must accept these Terms & Conditions and any applicable waiver before participating.
  • The Organiser may charge an administrative or processing fee for registration transfers.
  • Informal transfer, resale or sharing of race bibs without approval from the Organiser is strictly prohibited.
  • The Organiser reserves the right to disqualify any participant found using a registration or bib belonging to another person without authorised transfer.

4. Event Date, Venue & Course Changes

  • The Organiser reserves the right to modify the event date, start time, venue, course, obstacles, race format, categories, wave timings or other event arrangements when reasonably necessary.
  • Such changes may be made due to weather conditions, beach conditions, safety concerns, government or regulatory requirements, venue restrictions, force majeure events, technical issues or other circumstances beyond the reasonable control of the Organiser.
  • Where reasonably possible, participants will be informed of significant changes through the official communication channels of Glade Runner.
  • The Organiser may postpone, reschedule, relocate, modify or cancel the event if continuing the event would create an unreasonable risk to participants, staff, volunteers or the public.
  • In the event of postponement or rescheduling, registrations may be carried forward to the rescheduled event as determined by the Organiser.
  • Any refund or credit arising from cancellation or postponement will be subject to the decision and policy announced by the Organiser for that particular circumstance.

5. Weather & Beach Conditions

  • Glade Runner is conducted in an outdoor beach environment and may involve sand, water, uneven surfaces, mud, wet obstacles and changing weather conditions.
  • Participants acknowledge that weather and natural beach conditions may change during the event.
  • The Organiser may modify, suspend or stop any part of the course where weather, tides, water conditions, lightning, excessive heat, heavy rain or other environmental conditions create a safety concern.
  • The Organiser's decision regarding the safety of the course and continuation of the event shall be final.

6. Health & Physical Fitness

  • Glade Runner involves running, climbing, crawling, jumping, balancing, lifting, pulling, swimming or water-based activities, physical exertion and navigating obstacles.
  • By registering, participants confirm that they are physically capable of undertaking the selected race category.
  • Participants are responsible for assessing their own physical condition and determining whether participation is appropriate for them.
  • Participants should seek medical advice before participating if they have any concern regarding their ability to safely undertake strenuous physical activity.
  • Participants must immediately stop participating and notify an event official if they feel unwell, injured, dizzy, excessively fatigued or otherwise unable to continue safely.
  • The Organiser may remove a participant from the course if, in its reasonable judgement, continuing participation presents a risk to the participant or others.

7. Assumption of Risk & Liability Waiver

  • Participants understand that obstacle racing involves inherent risks, including but not limited to: slips and falls, trips and collisions, cuts, bruises and abrasions, sprains, strains and fractures, muscle or joint injuries, dehydration or exhaustion, heat-related illness, water-related incidents, contact with obstacles, accidental contact with other participants, risks associated with sand, water, mud and uneven surfaces, and other injuries arising from physical activity or participation in the event.
  • Participants voluntarily accept and assume the inherent risks associated with participating in Glade Runner.
  • To the fullest extent permitted by applicable law, participants agree to release and hold harmless the Organiser, its directors, employees, staff, volunteers, contractors, venue partners, sponsors, affiliates and authorised representatives from claims arising from participation in the event, except to the extent such liability cannot lawfully be excluded.
  • Nothing in these Terms & Conditions is intended to exclude or limit any liability that cannot legally be excluded or limited under applicable law.

8. Medical Assistance & Emergency Treatment

  • Reasonable first-aid and/or emergency medical support may be available at the event venue.
  • Medical support does not guarantee that every injury, illness or emergency can be prevented or treated on-site.
  • If a participant requires medical assistance, the Organiser may arrange or facilitate emergency medical attention where reasonably possible.
  • Participants are responsible for their own medical expenses, hospitalisation costs, medication, ambulance charges and other related expenses unless expressly stated otherwise by the Organiser.
  • By participating, the participant authorises event officials to arrange emergency assistance where reasonably necessary if the participant is unable to make such arrangements themselves.

9. Race Categories & Competition

  • Glade Runner may include Competitive and Non-Competitive categories.
  • Competitive participants must follow all applicable race rules, obstacle requirements, timing procedures and instructions issued by race officials.
  • A participant may be penalised, disqualified or removed from competitive rankings for: skipping or improperly completing obstacles, receiving unauthorised assistance, interfering with another participant, tampering with race equipment or timing systems, misrepresenting identity or registration information, violating race rules, or engaging in unsafe or unsportsmanlike conduct.
  • Race officials and designated Organiser representatives shall have authority over the interpretation and enforcement of race rules.
  • Decisions concerning rankings, penalties and disqualification shall be made according to the official race rules and procedures communicated by the Organiser.

10. Participant Conduct

  • All participants are expected to maintain a respectful and responsible standard of conduct.
  • Participants must follow instructions given by race officials, marshals, medical personnel and event staff; respect fellow participants, volunteers, staff, sponsors and venue personnel; avoid aggressive, abusive, threatening or discriminatory behaviour; not intentionally damage event property or obstacles; not interfere with another participant's progress or safety; and not engage in behaviour that creates a safety risk.
  • The Organiser may immediately disqualify or remove a participant who violates these requirements. No refund will be provided in such circumstances.

11. Prohibited Items & Substances

  • Participants must not bring prohibited items onto the race course or into restricted event areas, including but not limited to: weapons or dangerous objects, illegal substances, alcohol or intoxicating substances, glass containers, items that may create a safety hazard, or any item specifically prohibited by event officials.
  • Participants suspected of being under the influence of alcohol or drugs may be denied participation or removed from the event without refund.

12. Race Course & Obstacles

  • Only registered participants wearing the required race identification may enter the official race course.
  • Participants must follow the designated course and complete obstacles according to the instructions provided.
  • Participants must not deliberately bypass obstacles unless instructed to do so by a race official or marshal.
  • The Organiser may alter, remove or replace an obstacle at any time for safety, technical or operational reasons.
  • Participants must not attempt to modify, move, damage or interfere with any obstacle or race infrastructure.

13. Personal Belongings

  • Participants are advised not to bring valuable or unnecessary personal belongings to the event.
  • Where a baggage or storage facility is provided, participants must follow the applicable baggage procedures.
  • The Organiser will not be responsible for loss, theft or damage to personal belongings except to the extent required by applicable law.
  • Participants are responsible for keeping their valuables secure.

14. Photography, Videography & Media Rights

  • Glade Runner may be photographed, filmed and recorded by the Organiser and its authorised photographers, videographers, media partners, sponsors and representatives.
  • By participating in the event, you acknowledge that you may appear in photographs, videos, livestreams, promotional materials and other event-related media.
  • You grant the Organiser and its authorised partners a royalty-free right to use your name, image, likeness and voice captured during the event for legitimate event, promotional, marketing, advertising, editorial and social media purposes.
  • Such use may take place across digital, print, television, social media, websites and other media formats.
  • Participants will not ordinarily be entitled to compensation for such use.

15. Sponsors & Partners

  • Glade Runner may be supported by sponsors, partners, vendors and affiliated organisations.
  • Participants agree to comply with reasonable event-area rules relating to sponsor activations, branding, sampling, photography and promotional activities.
  • The Organiser reserves the right to restrict unauthorised commercial promotion, advertising or brand activation within the event premises.

16. Spectators & Accompanying Persons

  • Spectators may be permitted only in areas designated by the Organiser.
  • Spectators are not permitted to enter restricted race-course areas unless expressly authorised.
  • Children and other accompanying persons must remain in designated spectator areas and under the supervision of their accompanying adult.
  • The Organiser may restrict spectator access where required for safety, crowd management or operational reasons.

17. Anti-Doping & Fair Play

  • Participants in the Competitive category are expected to compete fairly and honestly.
  • The use of prohibited performance-enhancing substances or methods, where applicable under the rules of the competition, may result in disqualification and loss of any prizes or rankings.
  • The Organiser reserves the right to take appropriate action where there is reasonable evidence of cheating, manipulation or fraudulent participation.

18. Prizes & Awards

  • Eligibility for prizes, awards and rankings will be determined according to the official rules of the relevant category.
  • The Organiser reserves the right to verify results before announcing final winners.
  • A participant may be disqualified from receiving a prize if they are subsequently found to have violated the race rules or these Terms & Conditions.
  • The Organiser's decision regarding prize eligibility and race results shall be final, subject to applicable law.

19. Participant Data & Communications

  • Information collected during registration may be used for event administration, participant verification, communication, safety, results, customer support and other legitimate purposes connected with Glade Runner.
  • Participants may receive important event communications relating to race schedules, bib collection, venue information, safety instructions, changes and other event updates.
  • Participant information will be handled in accordance with the applicable Glade privacy policy and laws governing personal data.

20. Fraud, Misrepresentation & Unauthorised Participation

  • The Organiser reserves the right to cancel registration, deny entry or disqualify a participant if the participant: provides false or misleading information; uses another person's registration without authorised transfer; attempts to manipulate race results; uses fraudulent payment or registration information; tampers with timing or race equipment; or otherwise attempts to gain an unfair advantage.
  • No refund will be provided in cases of disqualification resulting from fraud or misconduct.

21. Force Majeure

  • The Organiser shall not be responsible for failure or delay in conducting the event caused by circumstances beyond its reasonable control, including but not limited to: natural disasters, severe weather, flooding, storms, government restrictions, regulatory orders, public emergencies, civil disturbances, acts of terrorism, venue restrictions, infrastructure failures, utility failures, or any other circumstances beyond the reasonable control of the Organiser.
  • The Organiser will make reasonable efforts to communicate any material changes to participants.

22. Changes to These Terms

  • The Organiser reserves the right to update or modify these Terms & Conditions when reasonably necessary.
  • The latest version published through the official Glade Runner website shall apply to participants.
  • Participants are responsible for reviewing the applicable Terms & Conditions before participating.

23. Governing Law & Jurisdiction

  • These Terms & Conditions shall be governed by and interpreted in accordance with the laws of India.
  • Any dispute arising in connection with Glade Runner or these Terms & Conditions shall be subject to the jurisdiction of the appropriate courts having jurisdiction over the Organiser's principal place of business, subject to applicable law.

24. Acceptance of Terms

  • By completing registration and/or participating in Glade Runner, you confirm that: you have read and understood these Terms & Conditions; the information provided by you is accurate; you meet the applicable eligibility requirements; you understand the physical nature and inherent risks of an obstacle race; you voluntarily choose to participate; you agree to follow the instructions of event officials; and you accept and agree to these Terms & Conditions.
